A working khata is not one endless list — it is three separate sections that only meet on the last day of the month. Give each its own pages from the start:
- The meal page — one month per spread. Columns: date, then one column per member. Every cell holds that day's units (1 / 0.5 / E for extra). A running total row at the bottom keeps the month sum visible.
- The bazaar page — the money going out. Columns: date, item, amount, paid by whom. Every taka of meal bazaar AND every fixed bill lands here. Staple or tape the actual receipts in, or at least note them same-day.
- The due page (জমা-বাকি) — the money coming in. Every member's payments during the month with date and amount, plus the final settlement at month-end.
The one rule that saves everything
Write entries the same day they happen. A bazaar remembered two days later is already wrong — wrong amount, wrong payer, or entirely forgotten. Same-day discipline is 90% of a clean khata.
The month-end closing routine
Close the khata the same way every month — a fixed routine you could do half-asleep, in six steps:
- Close the meal page. Sum each member's units for the month and the grand total. Re-add the last week twice — late-month rows are where errors hide.
- Close the bazaar page. Split the total into meal bazaar and fixed bills (they should already be on separate sections or clearly tagged).
- Compute the meal rate. Meal bazaar ÷ total units. Write it at the top of a fresh closing page with a box around it — this number answers next month's first argument.
- Compute each member's total. Units × rate + fixed share per head.
- Compute balances. For each member: paid (from the due page) − total. Positive gets money back, negative owes.
- Write the settlement plan — who pays whom how much — then have every member sign the closing page. Signatures end debates before they start.

Here is a complete closing page from a five-member mess, exactly as it should look in your khata (or in a spreadsheet, or in MessMeal):

The bottom row is your proof of correctness: meal costs sum to the bazaar total, everything together sums to ৳22,600, the paid column sums to the same ৳22,600, and therefore the balances cancel to zero. A khata that reconciles in all three directions is a khata nobody can argue with.

- One mixed page for everything. Meals, bazaar and dues interleaved on the same page make closing day a forensic investigation. Three sections, always.
- Rounding the meal rate. If 17,600 ÷ 437 = 40.27, do not round to 40 "for simplicity" — that silently misplaces ৳118. Keep two decimals or compute per-person costs directly from the fraction.
- Erasing instead of striking. Cross out with a single line and write the correction beside it. Erasures are where trust goes to die.
- No signatures. An unsigned closing page can be reopened forever. Thirty seconds of signing buys a month of peace.
